Visa Information

An official invitation letter will be sent by the 4th SoAE organizing committee upon request. This personal invitation is intended to facilitate travel and visa arrangements for registered participants. Visa applications are the sole responsibility of the participants. After completing registration, in-person participants may request a letter of invitation HERE

Your personal information provided must be exactly the same as what appears on your passport. Any discrepancy between your name on your passport and on your invitation letter or other documentation could lead to a delay or denial of your visa application.

Please note that the Symposium and its organizing committee are not authorized to assist with your Visa application process beyond providing the notification of invitation letter issued.

General Guidance

Attendees who have a foreign passport may need to apply for a Visa to visit the United States.  Processing times for B-1 Visas can fluctuate depending on location and demand, so applying early is crucial to avoid last-minute delays. 

  • The process of applying for a visa:
    • Step 1: Determine the Right Visa Category Type
      • Selecting the right one is crucial for your seamless conference experience, as each visa category serves a specific purpose.

        • A B-1 Visa is commonly used for a business visit - traveling for a scientific, educational, professional or business convention, or a conference on specific dates
        • The Visa Waiver Program (VWP) enables most citizens or nationals of participating countries to travel to the United States for tourism or business for stays of 90 days of less with out obtaining a visa.  Travelers must have a valid Electronic System for Travel Authorization (ESTA) approval prior to travel and meet all requirements explained HERE.  If you prefer to have a visa in your passport, you may still apply for a visitor (B) visa.
    • Step 2: Complete the DS-160 Form for a B-1 Visa
    • Step 3: Pay the Visa Application Fee
      • Pay the non-refundable visa application fee online.
      • The fee is typically $185.
    • Step 4: Schedule an Interview Appointment
      • Use the U.S. Embassy or Consulate's online system to schedule an interview.
      • Review country-specific instructions on the U.S. Embassy or Consulate website.
      • If you have a pressing need to travel urgently, you can inquire about expedited processing options.
    • Step 5: Prepare Required Documentation
      • Based on your chosen visa type, gather the necessary documents and materials.  Ensure all required documents are in order and valid.  This includes your passport, supporting documents for your travel purpose (e.g., business invitation), and financial documents.
        • Passport: Your passport must be valid for at least six months after your planned return date (unless except by country-specific agreements).
        • Photo: A passport-size photo that meets the requirements.
        • Supporting Documents:
          • Documentation proving the purpose and duration of your business trip.
          • Proof of financial ties to your home country (e.g., employment, property, family).
          • Evidence of your ability to support yourself financially during your stay.
          • Any other documents requested by the consular officer.
    • Step 6: Attend Your Visa Interview
      • Attend your scheduled interview at the U.S. Embassy or Consulate.
      • Present your passport, DS-160 confirmation page, and all required supporting documents.
      • Answer the consular officer’s questions honestly and provide any requested additional information.
    • Step 7: Additional Information:
      • After the interview, the consular officer may request further administrative processing or make a decision on your application.
      • If approved, you may need to pay a visa issuance fee (depending on your nationality).
      • Review the visa processing times on the U.S. Department of State’s website.
    • Step 8: Travel to the U.S. and enjoy your stay in Minnesota!
